Review classes and availability

Check the time, teacher, capacity, pricing, eligibility, and visibility for a class.

What you’ll accomplish

Review a class record from schedule through family discovery, then make and verify an approved change when your role permits it. A class’s website listing, Parent Portal visibility, and online registration are independent controls; check all three before directing a family to register.

Before you begin

  • Have the approved class name, schedule, instructor, location, room, and term available. If you are changing an existing offering, confirm how the studio wants to handle families already registered.
  • Know the intended capacity and eligibility requirements. A current enrollment count and a future reservation count refer to different participation dates; review both before deciding a seat is available.
  • Use an account with class-editing access for changes. Tuition pricing may need additional billing access; a visible class record does not guarantee that every pricing control is available.

Step by step

  1. Find the class record

    Open Classes and enter part of the name in Search classes. Select the correct class row and read the selected-class heading before continuing. If no classes match, use Clear search and try a shorter name. The catalog includes active, hidden, and archived records, so also check the State column.

  2. Check the schedule and assignment

    In the selected class, review Instructor, Schedule, Location, Room, Term, and Category. Compare them with the approved schedule rather than relying only on the class name. If two offerings share a name, the time and term help distinguish them. Missing setup values should be resolved before making the class available to families.

  3. Review current and future capacity

    Read Capacity, the Current enrollment count, and Future reservations. Use Manage roster if your role permits it to examine who is enrolled, waiting, or starting later. A future reservation should not be treated as an empty seat simply because the dancer is not attending today. Let the enrollment review determine availability for the intended start date.

  4. Check eligibility and pricing

    Read the Eligibility age range and any linked prerequisite classes. Review the class’s tuition pricing area when it is available to your role, including the applicable period. If pricing or eligibility is unclear, consult the colleague responsible for it before promising a cost or placement. Do not infer the price from another class with a similar name.

  5. Review the three availability controls

    Check Website, Portal, and Online in the class row. Website listing controls the public catalog; Parent portal controls family discovery; Online registration controls whether families may register online. Turning on one does not automatically enable the others. Review the intended combination with the studio before changing a switch or editing the record.

  6. Open Edit class for an approved change

    Select Edit class when available. Change the relevant fields, such as Day, Starts at, Ends at, Instructor, Location, Room, or Capacity. Review Term and the minimum and maximum ages as well. Keep unrelated values intact. Use Cancel if you entered the editor only to inspect the fields or the proposed change is not approved.

  7. Save and review any impact warning

    Select Save changes after checking the full form. If Registrations will be affected appears, read the explanation before choosing Confirm and save. That second action confirms a meaningful consequence for existing registrations. If the effect is unexpected, cancel and ask the owner or enrollment lead to review it instead of accepting the warning just to finish.

  8. Verify the saved offering

    Wait for the save result, then inspect the selected class again. Compare the schedule, room, instructor, state, and visibility columns with the intended result. Open Schedule to check the class in its date context. If families need to discover it, confirm the relevant Portal and Online values before telling them to try again.

    What to expect: The class record shows the approved details, and its discovery and registration controls match the intended audience.

If something does not look right

Families can see the class but cannot register.

Check Portal visibility and Online registration separately, along with the record’s active state and eligibility. A visible class is not automatically open for online enrollment. If those settings are correct, review capacity and pricing for the requested start date before changing anything else or promising that a seat is available.

The class time or room conflicts with another offering.

Compare both records in Schedule, including the date range, room, and instructor. A manager should decide which offering changes. Update the approved record and recheck the schedule afterward; do not alter a family’s enrollment merely to hide a scheduling conflict.

An edit would affect existing registrations.

Pause at the warning and review the affected class with the enrollment lead. Capacity, eligibility, timing, and record state can affect families already connected to the class. Use Confirm and save only when the studio has accepted the described effect; otherwise cancel and agree on the correct change first.

What happens next

Use the enrollment guide to review placements or waitlists for this class. If the change affects instructions previously given to families, follow your studio’s communication process. Saving a class record and sending a family message are separate tasks, so do not assume the edit itself delivered an explanation.
