What you’ll accomplish

Review the correct dancer and class, understand the timing and fees, and confirm an authorized enrollment or waitlist decision. Placement and billing are connected, but posting a registration charge does not collect a payment. Review the financial effect before confirming.

Before you begin

  • Have the dancer, family, class, intended start date, and studio policy available. Confirm whether you are adding a placement or changing one that already exists.
  • Know who can approve waived fees, additional charges, transfers, drops, or policy exceptions. Your access to enrollment does not necessarily include authority to make financial changes.
  • Check the current record before starting. A dancer already enrolled or waitlisted should not receive a duplicate placement to correct a date, fee, or status question.

Step by step

  1. Choose the class in Enrollments

    Open Enrollments and select the correct class, or follow Manage roster from its class record. Read the class name, schedule, teacher, and available seats. Check the roster, waitlist, and upcoming reservations before choosing an action. A dancer starting later can have a reservation even when they are not on today’s roster.

  2. Find the dancer and current status

    Read the dancer and family together. Enrolled, Trial, a future Starts date, and Waitlist with a position describe different situations. If adding a placement, use Search dancers or families under Place a dancer and select the correct result. Clear an active family filter when it is hiding the family you need.

  3. Choose Enrollment or Waitlist

    For a new placement, select Enrollment when a seat is available or Waitlist when appropriate. Enrollment is unavailable when the class has no seats remaining. A waitlist placement does not reserve a seat and does not post fees in this review. Confirm the studio’s intended outcome with the family before proceeding.

  4. Set the effective date and fee decisions

    Enter Effective date in the review form. For enrollment, check Tuition decision and Registration fee decision: the studio can post configured fees or use an authorized waiver. If a reason is required for waived or additional fees, explain the approved decision. Do not select a waiver merely to bypass missing pricing setup.

  5. Review the proposed result

    Select Review enrollment or Review waitlist. Read the dancer, class, family, effective date, open seats, and any warnings. For enrollment, inspect the fee lines, service period, due date, and Balance before and Balance after when available. If existing tuition needs a decision, use Review family history before deciding whether to retain charges or post an additional charge.

  6. Confirm the placement only after review

    Use Confirm enrollment with the displayed amount or Confirm waitlist when all details match the approved request. Wait for Enrollment confirmed or Waitlist placement confirmed. Posting charges here does not take a payment from the family. If you need to collect a payment afterward, use the family billing workflow and the studio’s approved payment process.

    What to expect: The confirmation identifies the dancer and class, and the refreshed roster or waitlist reflects the placement.

  7. Review changes to an existing placement

    For an existing roster entry, use Drop or Transfer; for a waitlist entry, use Promote or Remove from waitlist. Read the selected action and source class. Transfer also asks for a Target class. Review the date field’s explanation, billing choices, and any required Reason, then choose Prepare review to see the effect before confirming.

  8. Check the final participation and family record

    Confirm the reviewed action only when timing, capacity, fees, and policy consequences are understood. After its confirmation, recheck the current roster, upcoming reservation, or waitlist. Use Review family billing or Open family account when offered to inspect related charges or credits. A completed placement change and an explanation to the family are separate tasks.

If something does not look right

Pricing setup or an existing charge blocks the review.

Use the class tuition pricing or family history link offered in the message. Have the billing owner resolve the setup or decide how existing tuition should be treated. Review the updated amounts again before confirmation. Do not create another enrollment or waive charges simply to get past the message.

The final result is uncertain.

Read the page’s recovery instruction. Use Retry confirmation or Retry identical confirmation when offered so the app checks the same action. Do not start a separate placement for the same dancer and class while the first result is unresolved. If uncertainty continues, ask the manager to review the record before another action.

A family disputes a waitlist, drop, or transfer outcome.

Check the saved dancer, source class, target class where relevant, date, status, and billing effect. Compare those facts with the studio’s policy and the family’s request. Have the responsible manager decide the correction; a waitlist position or a requested transfer does not itself establish a confirmed seat.

What happens next

Explain the confirmed outcome and its effective date to the family through the studio’s usual process. Recheck billing if fees or credits were involved. A future placement may appear under upcoming reservations until its start date, and attendance uses the confirmed roster for the particular class date.
